BC Golf Association - AGM --- Agenda

(February 24, 2010)
The 7th Annual General Meeting of the British Columbia Golf Association is scheduled for Saturday, March 27 at Pitt Meadows Golf and Country Club.

Although the history of the BCGA can be traced back as far as 1893 when the first provincial men's amateur was contested in Victoria, and the BC Ladies Golf Association to 1905, the Association, as it exists today, was formally established on October 1, 2004 following amalgamation of the two amateur bodies, one year before the Royal Canadian Golf Association merged with the Canadian Ladies Golf Association.

Your attention is drawn of Section 18 of the Constitution and By-Laws of the British Columbia Golf Association reading as follows:

18.1 "Each Voting Member shall be entitled to appoint Delegates to represent it at General Meetings according to the following formula:

(a) a membership of 150 or less: 1 Delegate
(b) a membership of 151 to 300: 2 Delegates;
(c) a membership of 301 to 450: 3 Delegates;
(d) a membership of 452 to 600: 4 Delegates; and
(e) a membership of 601 or more: 5 Delegates.

18.2 . . . the number of Delegates from a Voting Member shall be calculated according to the number of its members as at September 30 of the year preceding the Annual Meeting.

In naming your delegates it is important to acknowledge that the British Columbia Golf Association represents both men and women. Membership numbers for each Voting Member include both Men and Women. Delegates to the AGM should reflect both genders. Materials relating to the Annual General Meeting will be mailed directly to each delegate at their home address with a copy to the clubs, for this reason clubs are strongly encouraged to name their delegates as soon as possible and certainly prior to the closing of the facility for the season.

And to Section 20.3, excerpts reading as follows:

(a) "... each Voting Member is entitled to nominate Members as candidates for the office of Director at Large;
(b) the number of eligible Delegates pursuant to section 13 (c) a list of the nominees of the Nominating Committee."

At the Annual Meeting, Delegates will be asked to elect four (4) Directors at Large to serve the Association.

A voting member may nominate a candidate for Director at Large by sending nominations to the attention of the Executive Director at the BCGA office. Please utilize the form provided and include a brief bio with the nominations, as this information will be forwarded to the voting delegates. The bio should give the background of the candidate as well as the qualifications for consideration as a Director of the Association. Deadline 12:00 pm Pacific Standard Time, March 6, 2010

We would encourage all clubs to name Delegates to the AGM. Delegates do not have to attend the AGM but can vote by proxy. Details on how to complete proxies will be sent with the second notice of meeting to delegates only. We ask that clubs notify the BCGA as to the name and contact information of their delegates on the form provided on or before March 6, 2010

Thank you for your prompt attention to this notice.

NOTE: PLEASE FEEL FREE TO FAX FORMS TO OUR OFFICE AT (604) 207-9535 OR SEND BY EMAIL to shirley@bcga.org
